1. Introduction
Quenex Technologies Limited ("Quenex," "we," "us," or "our") is a data controller registered in Uganda. We provide a web-based events management platform.
This Privacy Policy explains how we collect, use, store, share, and protect your personal information in compliance with the Data Protection and Privacy Act, 2019 of Uganda and its regulations. It applies to all users ("you" or "your"), including event organizers and attendees.
By using Quenex, you consent to the practices described in this Privacy Policy. If you do not agree, please do not use our platform.
2. Information We Collect
We collect and process the following categories of personal data.
2.1 Information You Provide
When you create an account, register for an event, or use Quenex, we may collect your full name, email address, phone number, encrypted password, organization or institution name, and profile photograph if you choose to upload one. We may also collect event registration details and, if paid events are introduced in the future, billing information.
2.2 Information Collected Automatically
When you use Quenex, we automatically collect certain technical data. This includes your Internet Protocol address, browser type and version, device information, operating system, pages you visit, access dates and times, and the website that referred you to us.
2.3 Cookies and Similar Technologies
Quenex may use essential cookies and related technologies to keep you logged in, remember your preferences, analyze traffic and usage patterns, and improve security. You may disable cookies in your browser settings, but please note that some platform features may not function properly as a result.
2.4 Sensitive Personal Data
We do not intentionally collect sensitive personal data such as genetic data or biometric data used for unique identification. If you choose to provide such data in event registration fields, you do so at your own risk.
3. How We Use Your Information and Legal Basis
Under the Data Protection and Privacy Act, 2019, we process your data based on specific legal grounds.
We use your information to create and manage your user account, which is necessary for the performance of our contract with you. We also use your information to facilitate event registration and communicate confirmations and notifications, also for contract performance. Providing customer support and responding to your inquiries is based on our legitimate interest or contract performance. Improving our platform performance, monitoring for fraud or misuse, and enhancing security are based on our legitimate interest. Finally, we use your information to comply with legal obligations when required by law.
4. Data Sharing and Transfer
Quenex does not sell your personal information.
When you register for an event, we share your identity and contact data with the event organizer for event management purposes. Event organizers are independent data controllers and are responsible for their own compliance with data protection laws.
We may share data with third-party service providers who assist us in operating the platform. These include hosting providers such as Render, source code management services such as GitHub, email delivery services, analytics providers, and payment processors. These providers are bound by data protection agreements.
Your data may be processed on servers located outside Uganda. We ensure such international transfers comply with the Data Protection and Privacy Act by implementing standard contractual clauses or using providers with equivalent privacy protections.
We may disclose your data when required by law, court order, or a lawful request from a government authority such as the Uganda Police Force, the Uganda Communications Commission, or the National Information Technology Authority of Uganda.
5. Data Security
We implement appropriate technical and organizational measures to protect your data. These measures include encrypting passwords using hashing algorithms, securing data transmission with HTTPS connections, enforcing role-based access controls to your data, and performing regular software and security updates.
6. Data Retention
We retain your personal data only for as long as necessary to provide our services, maintain records, resolve disputes, and comply with legal obligations. Account data is retained until you request deletion or your account becomes inactive.
7. Your Rights Under the Data Protection and Privacy Act, 2019
You have several rights regarding your personal data under Ugandan law.
You have the right to access your personal data and request a copy of the information we hold about you. You have the right to rectification, meaning you can correct inaccurate or incomplete data. You have the right to erasure, also known as the right to be forgotten, allowing you to request deletion of your data subject to legal obligations. You have the right to restrict or object to processing, limiting how we use your data. You have the right to data portability, allowing you to request transfer of your data to another data controller. Finally, you have the right to withdraw your consent at any time.

8. Children's Privacy
Quenex is not intended for individuals under the age of eighteen. We do not knowingly collect personal data from persons under eighteen. If you believe we have collected such data, please contact us so that we can delete it.
9. Third-Party Services and Links
Our platform may contain links to third-party websites or services. This Privacy Policy does not apply to those third parties, and we are not responsible for their privacy practices.
